Responsibilities of the Officers

At the time of changing officers, the previous officer is responsible for transferring all information gathered during their term and collected from the previous officer, to the new officer within 30 days.

President

  1. Preside at all meetings of the Association and act as Chairperson of the Executive Committee
  2. Serve as a Liaison with other professional organizations including the Montana State Licensing Board
  3. Main liaison with the AANP (including updates of current officers) and other regional state/provincial naturopathic associations
  4. Shall administer the By-Laws and perform all duties incident to their office and generally shall oversee the business and affairs of the Association
  5. Attend or appoint a representative for the AANP State Association meeting held yearly
  6. Organize CE at each meeting, have an attendance sheet signed by attendees and provide certificates of completion for attending physicians
  7. President includes the vice president in information and decisions to provide continuity in leadership
  8. It is the duty of the president to follow up on actions from meetings. For example: committees formed, appropriation of money to projects funded, planning of future CE, assure tasks that have been assigned to an individual or group are completed, etc.

Vice President

  1. Shall preside as President at all meeting in the absence of the President
  2. Act as Chairperson of the Ways and Means Committee and Ethical Practice Committee (guidelines available from the AANP)
  3. Holds the intention to become the next President of the MANP
  4. Support and maintain contact with the President concerning all MANP business to assure continuity
  5. Automatically becomes the Montana Delegate to the AANP House of Delegates (HOD) which means attending the annual HOD meeting at the AANP convention and reporting pertinent information
  6. Serve as a member of the executive committee of the MANP.

Treasurer

  1. Shall have the care and custody and be responsible for all the funds and securities of the Association. Keeping accurate books and records of account for all business transactions for the Association in Quickbooks (provided by the MANP if necessary).
  2. Shall deposit all funds promptly in the MANP bank account.
  3. Shall issue annual membership renewals by September 30th (due date is October 31st) and collect yearly dues.
  4. Shall submit a complete and written financial report of the business affairs and standing of the Association at regular meetings.
  5. Shall further perform all duties incident to the office of the Treasurer of the Association and such further duties relating to the financial affairs for he Association that may be assigned by the Executive Committee or the Association. This includes filing yearly taxes.
  6. The Treasurer shall have a permanent address.
  7. Accept membership applications (available on line) from new Naturopaths in the state.
  8. The treasurer will create a budget with the executive committee for approval by the membership. (Bring up at the budget meeting if we would like to send a check to the CNME for a total of $15 multiplied by the number of members in that year).
  9. Keep the active membership list current on the website.
  10. Budgeted expenses will be reimbursed and paid promptly on invoice or presentation of receipts. Unbudgeted expenses in excess of $250 require approval of a majority of members. Unbudgeted expenses of less than $250 can be incurred by a majority of the executive committee.
  11. Officers will pay expenses that any member incurs. Expenses incidental to the office not incurred by members will be budgeted or approved as noted. (Old statement: Expenses may be allocated to officers, with approval, for MANP related travel that is outside of the regular meetings or attendance by regular members.)
  12. Serve as a member of the MANP executive committee.

Secretary

  1. The care and custody of the records and archives of the Association
  2. Keep and maintain all minutes of regular and special meetings of the Association.
  3. Responsible for Association correspondences.
  4. Shall keep a record of all members taken into the Association, together with a list of members suspended or expelled, fined or dropped for non-payment of dues, as well as a list of members in good standing; and report the same to the annual meeting.
  5. Secretary shall have a permanent mailing address.
  6. E-mail minutes to all paid members from meetings ideally within 2 weeks of the meeting
  7. Read previous minutes at each new meeting for approval
  8. Serve as a member of the MANP executive committee
  9. Maintain and update a current member list and be the contact for members to update their information
  10. Secretary is responsible for mass communication with the membership.
